HOW TO BOOK YOUR WEDDING CAKE

FROM YOUR FIRST ENQUIRY TO SETTING UP YOUR CAKE ON YOUR WEDDING DAY

FROM ENQUIRY TO WEDDING DAY

Booking a bespoke wedding cake doesn't mean you need to have every detail decided from the beginning. In fact, I deliberately leave the full design process until a little closer to your wedding, giving you time to develop the colours, flowers, styling and other details of your day.

You can reserve your date much earlier, then we'll work through everything together at the right time — from tasting flavours and developing your design to confirming the final details and setting up your cake at your venue.

My wedding diary opens around two years ahead, so if you're planning well in advance, you can secure your date long before you need to make decisions about the cake itself. Popular summer dates can book particularly early.

This page takes you through the whole process, so you'll know what to expect at each stage.

You don't need to arrive with a finished cake design. That's what the bespoke process is for.

RESERVING YOUR DATE

Once you've sent your enquiry, I'll check availability for your wedding date and come back to you with the next steps.

If you'd like to go ahead, your date is secured with a Save the Date fee. This reserves your date in my bespoke wedding diary and forms part of the total cost of your cake or dessert table.

You don't need to choose your cake size, flavours or design at this stage. I'll ask for an approximate guest number when you book, but we'll develop and confirm the details of your cake later through the tasting, consultation and design process.

The Save the Date fee is £100 for 2027 weddings and £150 for 2028 weddings.

Once your date is reserved, we can leave the finer details until much closer to your wedding, when you'll have a clearer picture of how your day will look.

WOULD YOU LIKE TO TASTE FIRST?

You don't need to taste my cakes before reserving your date, but if you'd like to try them before deciding whether Red Robin Pantry is the right fit for your wedding, there are a couple of ways to do so.

If you're local to Falmouth, or visiting Cornwall, the Falmouth Cake Shed is the easiest way to try my cakes. Each week the shed is stocked with three or four freshly baked cake flavours alongside other seasonal bakes, so you can simply pop by and choose whichever flavours you'd like to try.

Tasting boxes are also available at selected times throughout the year and can be collected or posted, making them particularly useful for couples who live further away. During the busy summer wedding season, tasting box dates may be limited, so local couples are encouraged to visit the Cake Shed instead.

These pre-booking tastings are completely optional and separate from the tasting and consultation included later with bespoke tiered wedding cake bookings.

You don't need to choose your wedding cake flavours before you book — we'll do that later.

YOUR TASTING & CONSULTATION

Your tasting and consultation is where we start turning all those ideas you've gathered into a cake designed specifically for your wedding.

For bespoke tiered wedding cakes from a small two-tier upwards, a tasting and consultation for two people is included in your booking. You'll choose six flavours from the wedding cake menu, with one portion of each flavour per person. If you'd like to try more, additional flavours can be added for £5 per flavour.

Tastings and consultations take place in the months leading up to your wedding, once pricing for your wedding year has been confirmed. Most are held between February and May, with earlier weddings usually arranged during the previous autumn. Waiting until this point also gives you time to establish the style, colours, flowers and other details of your day before we start designing your cake.

You can choose an in-person tasting and consultation at my home near Falmouth. We'll sit down over tea or coffee, taste your chosen flavours and talk through your wedding, your ideas and all the practical details. Consultations usually take around 1–2 hours.

If you're further afield, or would simply prefer to do everything from home, your tasting can be posted to you, followed by a video consultation. Postage is charged separately.

Additional guests can join an in-person consultation for £20 per person, up to a maximum of four people in total. If family or friends would like to join in with the tasting without attending the consultation, you can also order an additional tasting box to take away, charged at the standard tasting-box price (£30 includes all 6 flavours and two portions of each flavour.).

If you or your partner have allergies or other dietary requirements, please have a look at the Special Diets page before choosing your flavours.

You don't need to arrive with a finished idea —

the consultation is where we'll work through it together.

Wedding Bouquet Detail

TALK

We'll talk through your venue, flowers, colours, styling and the ideas you've gathered for your wedding.

DESIGN

We'll bring everything together into a direction for your cake — from its size and proportions to the finish, decoration and details that make it yours.

YOUR DESIGN & QUOTE

After your consultation, I'll bring everything we've discussed together and develop the design for your wedding cake. This is where your ideas, wedding styling and practical requirements start to become a finished cake design.

I'll prepare a design sketch showing the proposed look of your cake, along with the agreed size, flavours and decorative details. You'll have the opportunity to look everything over and let me know if there is anything you'd like to change.

Once you're happy with the design, I'll prepare your final quote, including your cake, delivery and set-up, and any additional items or services we've discussed. Your Save the Date fee will be deducted from the total.

Nothing is set in stone while we're developing your design. If you'd like to change something, or the proposed cake comes in above the budget you'd like to spend, we can adjust the design before you approve it. There is no additional charge for revisions during this stage.

Once you're happy with both the design and quote, you'll approve them and your cake will be confirmed. Changes can still be requested after this point, subject to availability and sufficient notice, but changes requiring the cake to be redesigned will incur an additional design fee.

THE FINAL DETAILS

Around three months before your wedding, I'll get back in touch to confirm the final details and make sure everything is ready for the day.

We'll check that nothing important has changed since your design was approved and confirm any remaining details, such as final colours and flowers, cake toppers, cake stands or other hire items. I'll also make sure I have the correct contact details for your venue or wedding planner and everything I need to arrange delivery and set-up.

This is also the time to let me know about any smaller changes that don't require your cake to be redesigned. If your plans have changed more significantly and your approved cake needs a new design, this may be possible with sufficient notice and will incur an additional design fee.

Your final invoice is normally sent at around this point and will show the full cost of your order, including delivery, set-up and any additional items, less the Save the Date fee you've already paid.

Your remaining balance is due no later than six weeks before your wedding day.

Once the final details and payment are taken care of, there's very little left for you to do — I'll take care of the cake from here.

YOUR VENUE

Before the wedding, I'll liaise with your venue or wedding planner to arrange access and confirm everything I need for delivery and set-up.

If anything needs to be provided by the venue — such as a cake table or particular access arrangements — we'll make sure that's in place before I arrive.

FLOWERS &
FINAL DETAILS

For bespoke cakes decorated with fresh seasonal flowers, I'll usually check in with you during the week before your wedding. I'll let you know what's looking its best in the garden and what's available for your cake, giving you a final opportunity to tell me if there are any particular flowers you'd prefer me to use or avoid.

Your exact flowers will always depend on what's naturally available at the time of your wedding — that's part of what makes each seasonal floral cake unique.

STANDS,
TOPPERS & SERVING

If you're hiring a cake stand from me, I'll bring it with me on the day. If you're providing your own stand or topper, this will need to be ready at the venue for me to use when I set up your cake.

Any toppers should be mentioned prior to the day, in case they require further structural support.

I'll also provide the information your venue needs for allergens and serving, so everything is ready once the cake is in their hands.

YOUR WEDDING DAY

By the time your wedding day arrives, everything for your cake will already have been planned and arranged.

I'll deliver your cake to the venue at the agreed time, assemble and finish it on site where necessary, add any final flowers, toppers or decorative details, and make sure everything is set up as we've planned.

I'll liaise directly with your venue or wedding planner where needed, so you shouldn't have to worry about coordinating the cake while you're getting ready for your wedding.

Before I leave, I'll make sure your cake is safely set up and that the venue has any information they need for serving, allergens and looking after it until it's time to cut.

By the time you arrive, your cake should simply be another beautiful part of your wedding waiting for you.

READY TO START?

If you're planning your wedding in Cornwall and would like Red Robin Pantry to create your cake, the first step is to send me an enquiry using the form below.

You don't need to know exactly what you'd like yet. Just tell me a little about your wedding, your date and venue, and an approximate number of guests. I'll check my availability and come back to you with the next steps.

I'd love to hear what you're planning.
